How we handle the personal data you share with us, and the rights you have over it.

Who we are

Cybertomic ("we", "us") operates this website at www.cybertomic.com. We are the data controller for the personal data described in this policy. If you have any question about how we handle your data, contact us through our contact page or by email at team@cybertomic.com.

What data we collect

We only collect the personal data you choose to send us through the contact form on this site. That is: your name, email address, and message, and optionally your company, phone number, and the service you are interested in. We also record that you gave consent when you submitted the form.

This website does not use tracking cookies, advertising, or third-party analytics, so we do not build a profile of your browsing or collect your data in the background.

Why we use it and our lawful basis

We use the details you submit solely to read and respond to your enquiry and to follow up about the assurance or advisory work you have asked about. Our lawful basis under the UK GDPR is your consent, which you give by ticking the consent box and submitting the form. You can withdraw that consent at any time by contacting us; doing so does not affect any processing we carried out before you withdrew it.

We do not sell your data, and we do not use it for marketing.

Who processes it on our behalf

Form submissions are handled by our hosting and form provider, Netlify, which stores them securely so we can read and reply to them. Netlify acts as our data processor and processes the data only on our instructions. We share your data with no one else unless we are required to do so by law.

How long we keep it

We keep enquiry messages and the contact details in them for up to 24 months after our last meaningful contact with you, after which we delete them, unless we have a legal or contractual reason to keep them longer. If your enquiry leads to an engagement, the related records are retained under the terms of that engagement.

Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to our use of it, and to data portability. To exercise any of these rights, contact us through our contact page or by the email above, and we will respond within one month.

Complaints

If you are concerned about how we have handled your personal data, please raise it with us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed; please check back for the current version.
